Who we are
1.1 Exeter Space Limited, trading as Exe Space, is the controller of the personal information described in this policy.

What this policy covers
2.1 This policy covers people who visit our website and people who contact us through it.
2.2 It does not cover the personal information we handle once you become a member or book space with us. That is dealt with in the separate privacy notice that comes with your membership agreement, licence or booking confirmation.
2.3 It also does not cover CCTV at Exeland House. Signage at the building explains that separately.
The information we collect
3.1 Information you give us. When you complete the enquiry form on our site, we collect your name, your email address, the type of workspace you are interested in and anything you write in the message box. If you email or telephone us instead, we collect whatever you choose to tell us, which usually includes your name, contact details and business.
3.2 Information collected automatically. When you visit our site, our hosting provider records standard technical information including your IP address, the pages you requested, the date and time, and basic browser and device information. Our analytics tool records a similar but aggregated picture of how the site is used. Neither is used to identify you personally.
3.3 We do not collect special category data through our website, and we ask you not to send it to us. Please do not include confidential, sensitive or financial information in the enquiry form.
Why we use it, and our lawful basis
We must have a lawful basis under the UK GDPR for everything we do with your information. Ours are set out below.
4.1 We do not use your information to make any automated decision about you, and we do not profile you.
Who we share it with
5.1 We do not sell or rent your personal information, and we do not share it with third parties for their own marketing.
5.2 We do share it with suppliers who provide services to us, and only so far as they need it to provide those services. They act on our instructions and are bound by contract to keep it confidential and secure. They are:
(a) our website hosting provider, Digital Ocean which stores the site and its server logs;
(b) our analytics provider, Google which measures site usage;
(c) our email and IT providers; and
(d) our accountants and professional advisers, where relevant.
5.3 We will also disclose information if the law requires it, or to establish, exercise or defend legal claims.
Where your information is held
6.1 We are based in the United Kingdom, and so is most of our information. Some of the suppliers listed in clause 5.2 store or process information outside the UK.
6.2 Where information leaves the UK, we make sure it is protected to a similar standard, either because the country is covered by UK adequacy regulations, or by putting in place the UK International Data Transfer Agreement or the UK Addendum to the European Commission’s standard contractual clauses.
6.3 You can ask us for more detail about the safeguards that apply to a particular supplier.
How long we keep it
Your rights
8.1 You have the right to ask us to give you a copy of the personal information we hold about you, to correct it if it is wrong, to delete it, to restrict what we do with it, and to provide it in a portable format. You can object to us using your information where our basis is legitimate interests, and you can object to direct marketing at any time with no reason needed.
8.2 Where we rely on your consent, you can withdraw it at any time. That does not affect anything we did before you withdrew it.
8.3 To exercise any of these rights, email hello@exe.space or write to us at the address in clause 1.1. It is free. We will respond within one month. If we need you to confirm your identity, or we need to ask what your request covers, that month runs from the point we have what we need.
How to complain
9.1 If you are unhappy with how we have handled your personal information, please tell us first. Email hello@exe.space or write to us at the address in clause 1.1, and mark it for the attention of the person responsible for data protection.
9.2 We will acknowledge your complaint within 30 days of receiving it, look into it, keep you updated, and tell you the outcome without undue delay.
9.3 If you are still unhappy, you can complain to the Information Commissioner’s Office at ico.org.uk, or by telephone on 0303 123 1113. The ICO would normally expect you to have raised the matter with us first.
Cookies and similar technologies
10.1 A cookie is a small file that a website asks your browser to store on your device. Similar technologies, such as local storage and tracking pixels, do the same sort of job. Both are covered by this section.
10.2 We do not use advertising cookies, and we do not use cookies to track you across other websites. We do not sell or share any of this information with advertisers.
10.3 What we use is set out below.
10.4 Why you do not see a cookie banner. Under the Privacy and Electronic Communications Regulations, consent is not needed for storage that is strictly necessary for a service you have asked for. Since 5 February 2026, following changes made by the Data (Use and Access) Act 2025, consent is also not needed where the only purpose is collecting statistics about how a service is used in order to improve it, provided we tell you clearly what we are doing and give you a simple, free way to object. This section is that information, and clause 10.6 is how you object.
10.5 Fonts loaded from a third party. Our site loads its typefaces from Google Fonts. When your browser requests those files, Google receives your IP address and basic browser information. This does not set a cookie, but it is a transfer of information to a third party, so we would rather tell you about it.
10.6 How to object or take control. You can email hello@exe.space and ask us to exclude you from our site statistics. You can also block or delete cookies, block third party requests, and turn on any tracking protection your browser offers. Blocking strictly necessary storage may stop parts of the site working, including the enquiry form.
10.7 If we introduce advertising, marketing or cross site tracking technologies in future, we will update this policy and ask for your consent before setting them.
Keeping your information safe
11.1 Our site is served over an encrypted connection, and enquiries are transmitted securely. We limit access to personal information to the people who need it, and we require our suppliers to keep it secure.
11.2 No transmission over the internet is completely secure. If we suffer a personal data breach that is likely to result in a risk to your rights and freedoms, we will report it to the Information Commissioner’s Office within 72 hours, and we will tell you if the risk is high.
Children
12.1 Our site and our workspace are aimed at businesses and working adults. We do not knowingly collect information about anyone under 18. If you believe we hold information about a child, please contact us and we will delete it.
Changes to this policy
13.1 We may update this policy from time to time. The date at the top shows when we last did. If we make a significant change, we will say so on the site.
